Google Business Profile management: how the map really decides

Someone nearby searches for what you do. Three businesses show up on the map, and they call one of them. Here's how Google says it picks those businesses, the rules that get profiles suspended, and what it takes to keep yours in shape every week.

How Google ranks the map

This is from Google's own help page. Nothing here is a secret.

01RelevanceHow well your profile matches what someone typed. Google says businesses with complete and accurate info are more likely to show up. Categories, services, hours and a clear description all count here.
02DistanceHow far you are from the person searching. If they don't share their location, Google works from what it already knows. You can't change this one.
03ProminenceHow well known you are. Google points to how many reviews you have, your rating, and how many websites link to you.
04Paying doesn't change itGoogle's words: there's no way to request or pay for a better local ranking. The free listings are ranked on the three things above.
What Google tells owners to do: verify the business, keep the details up to date, respond to reviews and add photos and videos. None of it is hard. It's the doing it every week, for months, that most owners never get to.

The rules that get profiles suspended

Google publishes guidelines for how a business may show itself on Google. Break them and the profile can be suspended or removed.

Your profile can't
✕Stuff extra words into the nameGoogle wants your real-world name, as it appears on your shopfront. No taglines, areas, hours or "best dentist" add-ons.
✕Use a virtual officeAn address you rent but don't work from isn't eligible. Nor is a desk in a co-working space without clear signage.
✕Have two profiles for one locationOne location, one profile.
✕Pile on categories as keywordsGoogle says use as few as you can, and each should finish the sentence "This business IS a...".
✕Send callers to a landing pagePhone numbers and links that redirect people elsewhere aren't allowed.
You can
✓Hide your address if you go to the customerPlumbers, movers, aircon and home services set a service area instead. Google says service-area businesses should hide the address.
✓Appeal a suspensionThrough Google's appeals tool, once, with documents such as your business registration or a utility bill. The name and address on them must match the profile.
✓Ask for another review if the appeal is deniedGoogle may look again.
The mistake that makes it worse: opening a new profile when the old one is suspended. Google says plainly not to do this. If your whole account is restricted, that has to be lifted first, then you appeal the profile.

Getting verified

A profile only shows its posts and photos once Google has verified it. You don't choose how.

  1. 1
Google picksThe method is set for youPhone or text, email, a recorded video, a live video call, or a postcard with a code. Google says the methods are chosen automatically and can't be changed.
  2. 2
Up to 5 business daysGoogle reviews itMost reviews take up to five business days. Postcard codes can take up to 14 days to arrive and expire after 30.
  3. 3
LaterIt can come backChange key details and Google may ask you to verify again. If the "Get verified" button reappears, it wasn't fully verified.
If video is offered, Google recommends it. Have your signage, your premises and proof you run the business ready on camera. A live video call only runs during your business hours.

What you can post and update

The profile is free to create. These are the parts you control.

Regular and holiday hoursServices, with pricesPhotos, logo and coverVideos up to 30 secondsUpdates, offers and eventsA 750-character descriptionAttributes like parkingAnswers to customer questionsReplies to every review
Three things owners miss. Posts older than six months get archived, so a profile with no new posts looks quiet. Anyone can suggest an edit to your profile, and Google can update details from what it collects, so someone has to keep checking. And the questions section is only offered for some business types and regions, and Google says it's still changing, so check what your own profile shows. Products work only where Google offers them.

Three ways to run your Google profile

An honest side by side. Each one suits a different business.

01Do it yourselfGood for: owners with a spare hour a week and the habit to match. Costs: nothing but your time. Leaves you: remembering to post, adding photos, replying to every review and spotting the edits strangers suggest, every week.
02A listings toolGood for: keeping your name, address and number the same across many directories at once. Costs: a monthly subscription. Leaves you: the posts, photos and review replies. Most tools push your details out. Someone still has to do the work.
03Done for youGood for: owners who want the profile worked every week without thinking about it. Costs: a monthly fee. Leaves you: approving replies if you want to, and reading one report a month.

09 / FAQ

Questions people ask

Is Google My Business the same as Google Business Profile?

+

Yes. Google now calls it Google Business Profile. It's the free listing that shows your business on Google Search and Maps, with your hours, photos and reviews.

Is a Google Business Profile free?

+

Yes, creating a Business Profile and listing your business on Google is free. You pay only if you hire someone to run it or buy ads.

How do I get my Google Business Profile verified?

+

Follow the method Google offers you: phone or text, email, video, a live video call or a postcard. Google picks the method and you can't change it. Reviews take up to five business days.

Why was my Google Business Profile suspended?

+

Usually because something on it breaks Google's guidelines, such as extra words in the name or an address you don't work from. Fix it, then appeal once through Google's appeals tool with documents that match. Don't open a new profile.

How do I rank higher on Google Maps?

+

Work on relevance and prominence. Fill in every part of your profile accurately, keep it fresh, and get more genuine reviews and answer them. Google says those count, and that you can't pay for a better local ranking.

Can you get me into the top 3 on Google Maps?

+

Nobody can promise that, and we won't. Your distance from the person searching decides part of it, and Google changes the rest often. We do the work Google says counts, and your monthly report shows where you show up.

Should I put keywords in my business name?

+

No. Google wants your real-world name as it appears on your shopfront, and says extra information in the name can get the profile suspended.

I don't have a shop. Can I still get on Google Maps?

+

Yes, as a service-area business. You set the areas you serve and hide your address. A rented address you don't work from isn't allowed.

Do you need my Google login?

+

No. You add us as a manager on your profile and can remove us any time. Managers can't remove the profile or other users, so you keep control.

What does it cost?

+

The Google profile itself is free. Ranked. is quoted on the call, per location, month to month with no contract.
