AI receptionist: what it really covers, and what it costs next to a person

Someone calls while you're with a customer and the phone rings out. Another asks your price on Instagram on a Sunday. Everyone's busy, so both wait, and one books elsewhere. Here's what each way of covering the front desk actually handles, what a receptionist earns in Singapore, and what to check before you pay for anything.

Calls or chats: which part of the front desk is slipping?

"Receptionist" covers several jobs. Most tools only do one or two of them. Start by naming the one that's costing you customers.

01Picking up the phoneCalls that ring out while everyone's with a customer, and the callbacks nobody makes.
02Answering chats and DMsWhatsApp, Instagram, Facebook and website messages that sit unread until someone is free.
03Booking and moving slotsFinding a time, confirming it, and changing it when the customer asks.
04Chasing the quiet onesThe person who asked the price and never replied.
05The counterWalk-ins, check-in and taking payment in person. Software doesn't do this part.
How we split it: Answered. picks up your phone calls. Booked. answers your chats and messages. Take one or both. Take both and they run as one system, so a customer who called on Monday and messages on Thursday doesn't have to start again.

Four ways to cover the front desk, side by side

None of these is right for everyone. Here's what each one does and leaves you with.

01A receptionist on staffGood for: the phone, walk-ins, the counter and the judgment calls. Costs: a monthly salary plus CPF and leave. Leaves you: one person, one shift, one conversation at a time, and nobody after closing.
02A virtual (outsourced) receptionistGood for: phone calls answered by a remote team in your business's name. They usually take a message and pass it on, and some can book. Costs: a monthly fee, often tied to how many calls come in. Leaves you: the callbacks and the selling, since they don't know your prices and objections the way you do.
03A scripted botGood for: fixed questions like opening hours and address. Costs: a tool fee and your time to build the menu. Leaves you: every message that doesn't match a button, and the customers who give up on "Sorry, I didn't understand."
04Done for you, trained on how you sellGood for: businesses that take enquiries and bookings by phone, chat or both. Costs: a monthly fee plus usage, and a set-up fee for the phone side. Leaves you: only the calls and chats that need you, with a written summary attached.

What a receptionist earns in Singapore

The official numbers, so you can compare like with like.

01Receptionist (general): S$2,849 a monthMedian gross wage, full-time resident employees, June 2025.
02Medical or dental receptionist: S$2,931 a monthSame survey, same basis.
03Before the extrasThese figures are before the employer's CPF, leave cover and training.
To be fair about it: a person does things software can't, like the phone, the counter and a nervous first-timer in the waiting area. So this isn't a straight swap. The honest question is narrower: who answers the chats at lunch, after closing and on Sunday, and what does that cost you each month?

What to ask before you buy any of them

Most demos look good. These questions show what happens on a real Tuesday.

01"Does it book, or just reply?"A reply that ends with "call us to book" still leaves the work with you. Ask to see a booking land in a calendar.
02"What happens when it can't answer?"It should pass the chat to a person, with the whole conversation, not guess. Ask what it hands over by default.
03"Does it tell people what it is?"Ask whether it can say it's the business's assistant in the first message, and what it says when someone asks.
04"Where do the chats go?"Ask where conversations are stored, who can see them, and whether they're used to train anything.
05"What does a busy month cost?"Monthly fees are easy to compare. Message and usage charges are where bills grow. Ask for a typical month in writing.
06"Will it message people first?"Replying is one thing. Sending promotions is where Singapore's rules start.

The Singapore rules that touch it

Answering people who wrote to you is the simple part. Here's what Singapore's regulators say about the rest.

You can
✓Record calls for your records and your teamTell callers at the start of the call what the recording is for. The PDPA requires you to say what personal data is for, on or before collecting it.
✓Reply to anyone who messaged youAnswering a request for information isn't treated as a marketing message under the PDPC's Do Not Call rules.
✓Use a provider to run itBut under PDPC guidance, your business stays responsible for how the tool handles personal data, even when someone else runs it.
✓Decide how to tell customersIMDA's chatbot guidelines are voluntary. They encourage a short, specific statement the first time someone uses it, with a link to plain facts: what it's for, its limits, how data is used and how to report a problem.
You can't
✕Send promotions to Singapore numbers without checkingThe Do Not Call rules cover WhatsApp and other chat apps. You need a check against the DNC Register or clear consent you can show.
✕Skip telling people why you collect their detailsThe PDPA requires you to say what personal data is for, on or before collecting it.
✕Force consent for model trainingPDPC guidance says you can't make agreeing to have chats used to train AI a condition of serving the customer, beyond what's reasonable.

09 / FAQ

Questions people ask

What is an AI receptionist?

+

It's software that answers customer enquiries for a business, day or night. Some versions answer phone calls, others answer chats and messages, and the better ones book the appointment instead of only replying.

Can an AI receptionist answer phone calls?

+

Yes. Answered. picks up your calls at any hour, answers from your prices and policies, and books into your calendar. Booked. is the chats side: WhatsApp, Instagram, Facebook, your website and email. You can take one or both.

Is a virtual receptionist the same thing?

+

Usually not. A virtual receptionist is most often a remote team answering your phone in your business's name and passing on messages. Software that answers chats works around the clock, handles many conversations at once and can book inside the chat.

What's the difference between an AI receptionist and an AI sales agent?

+

A receptionist answers and books, while a sales agent also follows up, handles "too expensive" and asks for the yes. Booked. does both in the chat: it answers, holds your price, chases the quiet ones and gets the booking or the deposit.

Can it replace my receptionist?

+

For the chats and the phone, it can take most of the load. For the counter, no. Many businesses keep their front desk person and let the chats get answered at lunch, after closing and on weekends, when nobody's free.

Will my customers know they're not talking to a person?

+

On chats, it can say so in the first message. On calls, Answered. can introduce itself as your booking assistant at the start. and if someone asks, it says it's your booking assistant and offers to pass them to a person. Singapore's IMDA guidelines on this are voluntary and encourage a short, clear statement at first use.

Is it allowed under the PDPA?

+

Yes, if you handle the data properly: tell people what their details are for, keep the chats safe, and don't send promotions to Singapore numbers without a DNC check or consent. Your business stays responsible even when a provider runs the tool. This is a summary, not legal advice.

Can it book straight into my calendar?

+

Yes. Booked. offers the open slots, takes the name and confirms inside the chat. If you use a separate booking platform, tell us which one on the call and we'll confirm the fit before you commit.

What happens when it doesn't know the answer?

+

It hands the chat to you or your staff with the full conversation and a one-line note on why. Complaints, medical questions and anything outside its brief are handed over by default.

What does it cost?

+

Booked. is S$997 a month, month to month. Teams of one to five people can check if they qualify for a scholarship. Message usage is on top. Answered. has a set-up fee and a monthly fee, quoted on the 20-minute call once we've seen how many calls you get.

Does it record calls?

+

Yes, so you get a summary of every call and can check how it went. Callers should hear at the start what the recording is for, and we set that up with you.
